A good email signature closes every message with your name, role, and a way to reach you, without turning the footer into a billboard. This free email signature generator builds one from email-safe HTML tables with inline styles, so it renders identically in Gmail, Outlook, and Apple Mail. Type your details, watch the live preview update, then copy the result and paste it into your email client. Empty fields are simply left out.
How to create your email signature
- 1
Fill in your name, job title, company, and the contact details you want to share. Leave anything you do not need empty.

Add a public URL for your photo or company logo, and links to your LinkedIn or X profile if you use them.
- 3
Choose one of the three layouts and adjust the brand color to match your company.
- 4
Check the live preview, then click "Copy signature".
- 5
In Gmail, open Settings, then "See all settings", scroll to the Signature section, create a new signature, and paste. Save changes at the bottom.
Frequently asked questions
How do I add the signature to Gmail?
Click the gear icon in Gmail, choose "See all settings", and scroll to the Signature section of the General tab. Click "Create new", give the signature a name, paste what you copied from this tool, then scroll down and hit "Save Changes". You can set it as the default for new emails and replies right there.
Why is the signature built with tables and inline styles?
Email clients do not support modern CSS the way browsers do: stylesheets get stripped, classes are ignored, and layout support varies wildly. HTML tables with inline styles are the only approach that renders consistently across Gmail, Outlook, Apple Mail, and mobile apps, which is why every professional signature generator uses them.
Why is my photo not showing?
The image must be hosted at a public URL that ends up directly serving the file, not a page that displays it. Private Google Drive links, local file paths, and login-protected URLs will not load for your recipients. Upload the image to your website or a public host and paste the direct link.
What should a professional signature include?
Keep it to the essentials: your name, role, company, one phone number, and one or two links. Recipients scan signatures in a second, so every extra banner, quote, or badge dilutes the useful information. A single accent color and a small photo are enough to look polished.
Can I use a custom font in my signature?
Not reliably. Most email clients only render fonts installed on the recipient's device, and custom web fonts are ignored or replaced. This tool uses Arial with standard fallbacks, which looks clean everywhere. If brand typography matters, put it in your logo image instead.
Is a signature legally required in business email?
In several countries, yes. For example, companies in Germany must include registration details in business correspondence, and other jurisdictions have similar disclosure rules. Check what applies to your company, and add the required line as plain text below the generated signature if needed.
